If you could only keep 10 of your current clients, which ones would you choose?

Now look at your calendar.

Are those 10 getting most of your time?

Probably not.

Most business owners spend their best energy on their most demanding clients. Not their best clients.

The ones who negotiate hardest. Call after hours. Need constant hand-holding.

Meanwhile, the clients who trust your expertise, pay on time, and refer others? They get whatever time is left over.

Here’s how to audit which clients are actually profitable:
Step 1: List all your clients from the past year
Step 2: For each one, rate them on two things:

Results (Revenue & Profitability):
High = Strong revenue, good margins, pays on time
Medium = Decent revenue, okay margins
Low = Small revenue or constant price negotiations

Behavior (How they work with you):
Good = Trusts your expertise, reasonable timelines, respectful communication
Medium = Occasionally demanding but manageable
Draining = Constant revisions, unrealistic expectations, scope creep, after-hours demands

Step 3: Put them in a simple 2×2 grid
Top right (High Results + Good Behavior) = Your dream clients. Get more like these.
Top left (High Results + Draining Behavior) = Profitable but exhausting. Can you set better boundaries?
Bottom right (Low Results + Good Behavior) = Great to work with but not profitable. Can you raise rates or refer them elsewhere?
Bottom left (Low Results + Draining Behavior) = Fire them. Seriously.

Step 4: Make a plan
More of top right. Boundaries or transition for top left. Raise rates or refer out bottom right. Fire bottom left.
Right now, you’re probably treating all clients equally.
Same attention. Same responsiveness. Same effort.

But not all clients are equal. Some multiply your energy. Others drain it.
